Client Overview

A Prominent Fashion Retailer with Active Operations Across 10+ Countries

The client is a well-established international online retailer with a product catalog spanning more than 2.5 million items—including clothing, footwear, handbags, and accessories. They operate across more than ten countries, sell through multiple branded websites, and maintain ten active Amazon seller accounts.

Scope OF Work

Skilled, Dedicated FTEs for Amazon Content and Broader eCommerce Operations Support

The client required dedicated FTE support within its existing eCommerce environment, which already spanned multiple websites, Amazon seller accounts, and established internal systems.

The initial scope centered on Amazon product description writing for a month, but the requirements were later expanded to support quarterly reporting, vendor issue resolution, product image review, listing uploads, and SKU-level updates as the engagement expanded.

Across these workstreams, the client’s requirements remained fixed:

  • Adherence to detailed internal content, formatting, and workflow guidelines.
  • Error rates held within a 0–1% threshold.
  • Consistent delivery against defined daily productivity and turnaround expectations.
  • Secure execution within the client’s work environment and systems.
  • Full visibility into resource time, output quality, and operational status through structured reporting.

Key Challenges

Meeting High Security, Accuracy, and Volume Standards From the First Week

  • The central challenge of this engagement was not any one requirement, but meeting all of them simultaneously. The client expected sub-1% error rates, strict security protocols, high daily throughput, and full operational transparency from day one, with no room for an extended ramp-up period.
  • On the security front, the hardware authentication tokens required to access the client's US-based platform took approximately ten days to arrive. Starting work without compromising security or violating the client's access policies required an interim arrangement that could meet the same standards.
  • Also, producing up to 600 fully compliant product descriptions per day, within a structured formatting system the team had only recently been trained on, required careful resource selection and a fast but thorough onboarding process. General-purpose writers were not suitable for this engagement. The team had to be assembled specifically for the work.

Our Approach

Establishing a Structured Delivery Model for Content, Catalog, and Vendor Operations

SAMM Data approached the engagement in structured phases: team assembly, secure access, quality controls, reporting alignment, and expansion into additional workstreams.

Assembling the Content Writing Team

Sixteen eCommerce copywriters were selected to meet the production target of 600 descriptions per day. The team worked within the client’s platform environment, using the existing product database as the source for content creation. This reduced research time while keeping output aligned with the client’s catalog.

Training on Client Guidelines

The client shared a detailed content framework covering semantic rules, word usage standards, video references, editorial handbooks, and output expectations of five units per resource per hour. A structured two-day onboarding program brought the full team up to standard before production began.

Securing Access to Client Systems

While hardware authentication tokens were in transit from the US, SAMM Data implemented a compliant interim access arrangement, ensuring work could begin on schedule. Once the YubiKeys arrived, the full team transitioned to hardware-backed dashboard access for the remainder of the engagement.

Establishing Quality Control

Each writer was assigned 40 units per day against the overall production target. An internal quality assurance specialist reviewed output twice a day, while the project manager conducted a separate daily review of submitted descriptions. This two-level review model kept the error rate at or below 0.5% throughout the engagement.

Implementing Dual Time Tracking

SAMM Data tracked resource time through its proprietary Employee Time Tracking Management System (ETMS). Based on the client’s preference, the team also worked on Clockify. Both reports were shared daily at the individual resource level, giving the client direct visibility into productivity.

Establishing a Reporting Cadence

In addition to the daily time-tracking report, two supplementary reports were shared each week. The first report covered productive and idle hours by resource, while the second report summarized weekly task quality.

This reporting structure gave the client ongoing visibility into operational performance without requiring direct supervision.

Expanding Into Additional Workstreams

After the content writing engagement reached operational stability within the first month, SAMM Data created dedicated teams for five additional areas:

PRODUCT IMAGE REVIEW AND UPLOAD
  • Review supplier-submitted image tickets in Jira
  • Modify images to client specifications
  • Upload approved files to Site Manager
  • Confirm completion back to merchants
CATALOG MANAGEMENT
  • Organize the client's proprietary product data
  • Update and merge SKUs
  • Remove obsolete entries
  • Adjust categories and attributes
NEW LISTING CREATION
  • Upload listings with titles, descriptions, and images to the client's website
  • Manage related merchant communications
VENDOR AND SUPPLIER SUPPORT
  • Manage Jira tickets from brand representatives
  • Review updated product data
  • Request missing information
  • Update records on Site Manager
DATA REPORTING AND VISUALIZATION
  • Generate interval-based Tableau reports
  • Track inventory movement
  • Report on sales performance
  • Highlight product success metrics
