The client is a leading North American eCommerce retailer specializing in residential and commercial HVAC (Heating, Ventilation, and Air Conditioning) solutions. Their inventory encompasses everything from complex central air conditioning units and furnaces to niche replacement parts and filtration systems for top brands. They serve a diverse customer base, including restaurant chains, hotels, healthcare facilities, food processing plants, and commercial property managers through their BigCommerce store.

PROJECT REQUIREMENTS

Comprehensive BigCommerce Store Management for Expanding Product Catalog and Daily Operations

The client required our full-scale BigCommerce management services to streamline their growing eCommerce operations. The key requirements involved:

  • BigCommerce Product Data Management: Audit and enhance existing product detail pages (optimize attributes, append missing details, and incorporate relevant search terms) to improve rankings. Additionally, create new listings for the client’s latest product range, leveraging BigCommerce’s advanced features, including custom fields, product filtering (facets), and multi-variant SKU management.
  • Product Image Editing & Optimization: Enhance product images received from manufacturers and vendors (color & lighting correction, background removal, bulk resizing, format conversion, etc.) to meet the listing requirements. Also, create lifestyle images, 3D product models, and infographics for immersive product presentation.
  • Order Processing and ERP Integration: Seamless, error-free processing of daily eCommerce orders into both the BigCommerce platform and NetSuite ERP system. Validate order details (customer information, pricing, quantity, etc.) before fulfillment; track and update inventory in real time; and handle returns & refunds.
  • Competitor Price Monitoring and Intelligence: Track competitors’ prices in real-time and adjust the client’s product pricing to protect profit margins and maintain a competitive edge. We were also tasked to analyze competitors’ strategies for market positioning

To improve product discoverability and ranking, we need to ensure there are no duplicate records and that metadata is optimized across the entire catalog.

Supporting BigCommerce Operations Through Expert Product Management and Process Optimization

To streamline the client’s BigCommerce operations and ensure accurate listing optimization and product categorization, we deployed a dedicated team of 7 subject-matter experts. These professionals possess deep knowledge of the HVAC industry and were trained on the client’s guidelines to meet their quality standards.

Product Data Normalization and Standardization

We addressed the data fragmentation issue by implementing an ETL (Extract, Transform, Load) framework tailored to HVAC specifications. Our team:

  • Deployed custom scripts to scrape and parse non-editable data formats (PDF catalogs and flat images), converting them into editable CSVs and structured JSON formats compatible with BigCommerce.
  • Created a comprehensive master template encompassing all critical product attributes specific to commercial HVAC equipment—BTU capacity, voltage requirements, refrigerant type, SEER/EER ratings, dimensions, weight, mounting specifications, compliance certifications, and compatibility information.
  • Standardized critical technical units (e.g., converting all power outputs to BTUs/hr or KW and standardizing dimension notations) to ensure filtering and faceted search worked perfectly.
  • Merged fragmented data points from multiple sources (Excel, XML, and supplier portals) to create a single "source of truth" for every SKU, eliminating conflicting technical data.

BigCommerce Listing Optimization and Creation

Our BigCommerce listing specialists utilized a comprehensive two-phase approach for existing and new product pages:

Phase 1: Audit and Optimize Existing Underperforming Listings

  • Conducted a systematic audit of the client's existing catalog to identify optimization opportunities and address issues like duplicate or near-duplicate records.
  • Enriched missing product details, technical specifications, and attributes by extracting details from the provided sources, such as manufacturers’ databases and other credible HVAC equipment websites.
  • Comprehensively optimized metadata across all existing listings by incorporating relevant, high-intent, and high-volume search terms. Additionally, we implemented structured data markup where applicable for rich snippet eligibility
  • Identified high-value search terms for each product category by analyzing competitor listings and customer search behaviors. Our SEO experts have strategically incorporated these terms into product titles, descriptions, bullet points, and backend search fields to improve organic discoverability.

Phase 2: Create New Listings and Variants

  • Structured product data in a recommended format and handled bulk product data entry on BigCommerce. We validated data accuracy and consistency before being uploaded to the client's BigCommerce store using bulk import tools.
  • Utilized “custom field” options to add technical specifications for HVAC equipment, such as BTU capacity, SEER/EER ratings, tonnage, voltage requirements, refrigerant, and physical dimensions.
  • For products with multiple configuration options (voltage variants, accessory bundles, warranty tiers), we created comprehensive variant structures.
  • Created keyword-rich product titles and detailed, unique product descriptions (250-400 words) highlighting features, benefits, specifications, and applications.

Product Image Editing & Visual Asset Creation

The client shared product images with us in batches to refine and optimize to create a more compelling visual presentation. Our product photo editing specialists:

  • Utilized advanced post-processing tools and manual retouching techniques to fix issues like lighting and color inconsistencies, skewed perspectives, and cluttered backgrounds.
  • Replaced distracting backgrounds with pure white backgrounds for main images, and resized product photos to BigCommerce's optimal dimensions (primary images at 1200x1200px, thumbnails at 300x300px)
  • Created lifestyle images, infographics, and interactive 3D models for rich media integration
  • Optimized image alt texts to improve search relevance

Streamlined Order Processing and ERP Integration

We implemented a rigorous order management workflow to ensure accuracy and seamless data synchronization. The client shared order details via email on a regular basis, which we needed to process to both their BigCommerce store and NetSuite ERP system. We streamlined order processing and inventory management through a systematic approach that involved:

  • Order details validation (shipping addresses, contact details, item specifications, quantity, and billing information) before fulfillment
  • Entry of validated data in both BigCommerce and the client's NetSuite ERP system using tailored processes for each platform
  • Real-time inventory synchronization between manufacturer data feeds, BigCommerce, and NetSuite to automatically update product availability, preventing overselling and backorders.
  • Processing return and refund requests, validating return eligibility against the client's policies, and coordinating with the warehouse for the receipt inspection.

Competitive Pricing Management

To track real-time price fluctuations for all SKUs against clients’ top competitors, we used a reliable pricing intelligence tool called Pricemole. We configured Pricemole to continuously monitor pricing across the client's competitive landscape:

  • Tracked 25+ major HVAC retailers and distributors, including national chains, regional specialists, and major marketplace sellers (Amazon, eBay)
  • Established precise product matching for the client's entire catalog using manufacturer part numbers, model identifiers, and specification comparison—ensuring accurate price comparisons
  • Captured competitor pricing data 4-6 times daily for high-turnover products and at least once daily for the complete catalog, enabling detection of flash sales, time-limited promotions, and rapid market shifts

To ensure automated price matching does not erode profit margins, we collaborated with the client to establish intelligent pricing rules.
